For the purpose of the tender, Nottingham Trent University and the University of Nottingham will be referred to as The Group. The Group will collaborate during the tender programme to find solutions that best suit its requirements and will manage any contract thereafter jointly. The Group and tenderers benefit from the close geographical location of the awarding authorities.
The procurement process is split into the following Lots in accordance with the EU Contract Notice:
Lot 1 — Ad-Hoc and Non Ad-Hoc Coach Hire
Lot 2 — Ad-Hoc Minibus Hire With Driver
Lot 3 — Ad-Hoc Self Drive Minibus Hire — Nottingham Trent University Only.

The supply of high quality executive and standard coaches in a maculate condition both inside and outside, ranging in sizes from 16 to 85 passengers on a mixture of private hires. The majority of The Groups requirements lies within the United Kingdom and primarily for the transportation to other Universities, Colleges, Schools, Museums, Local Businesses, City Attractions, Airports, Rail Stations, Ferry Ports, Eurostar and sport related trips. The requirements entail a combination of 1-day tours with 1 stopping point to more complex journeys with multiple stopping points and in some cases lasting more than 1 day, including continental journeys. All vehicles must have the suppliers name, branding and vinyls applied to the outside of the vehicle.
The supply of high quality minibuses to The Group in a maculate condition both inside and outside, consisting of 9, 11, 12, 15 and 17 seaters accompanied with a competent driver. The bulk of this requirement relates to The Groups Sport Departments requirement for minibus transportation, on each term-time Wednesday to sporting facilities across the United Kingdom along with course related field trips. The majority of the private hires for Lot 2 fall within the East Midlands or boarding regions. The Groups" requirements are predominantly for return trips lasting 1 day however, there may be the odd requirement for minibus hire lasting multiple consecutive days. There will be circumstances whereby a number of minibuses will be required on the same day for the same trip or a variety of trips between The Groups" varying departments.
Lot 3 — Ad-Hoc Self Drive Minibus Hire — NTU only
The supply of high quality self-drive minibus hire in a maculate condition both inside and outside; consisting of 9, 11, 12, 15 and 17 seaters to Nottingham Trent University. The University of Nottingham may decide at a later date to utilise this lot for its self-drive minibus requirements, but at present this is excluded. It is vitally important that each minibus is of the highest quality to reflect the University"s international standing, prestige and reputation. Nottingham Trent University requires self-drive minibus hire within the United Kingdom, commencing from NTU Campuses; predominantly for course related field trips within the East Midlands and the boarding regions. Rentals predominantly lasting 1 day with vehicles delivered and returned on the same day, however NTU also requires longer 3, 5 and 7 day rentals. There will be circumstances whereby a number of minibuses will be required on the same day. NTU will require the option of the successful suppliers providing a refuelling service, unless otherwise agreed at contract award. The successful suppliers shall be capable of providing both a delivery and collection service to NTU campuses, although not a mandatory requirement if based locally to NTU campuses.

Precise information on deadline(s) for lodging appeals: Nottingham Trent University will incorporate a standstill period at the point information on the award of the contract is communicated to tenderers. That notification will provide full information on the award decision. The stand still period, which will be for a minimum of 10 calendar days, provides time for unsuccessful tenderers to challenge the award decision before the contract is entered into The Public Contracts Regulations 2015 provide for aggrieved parties who have been harmed or are at risk of harm by a breach of the rules to take action in the High Court (England, Wales and Northern Ireland).
